BEFORE SERVICE STARTS
Arrive by 7:45AM and review Service Notes in Planning Center (click Order of service> Site Coordinator> Details)
Locate Gray folder and supplies in office and distribute anything in it based on the Service Notes in PCO.
Wear a radio and your headset. (Channel 5) Check to ensure Safety Volunteer and Head Usher also have radios (perform radio check with your team)
The sanctuary and balcony lights will be controlled by the sound booth. You will need to take care of the foyer coffee shop (please do not go above the black line), entry way lights, and the balcony.
Ensure there is Breakfast for all of the volunteers by 8:00. (If not, send someone to pick up something)
There are safety cones are under the coffee shop counter. Please put 3 cones in the parking spaces out in front of the gray house to block off parking by the alley, one in front of the utility pole close to the church by the yellow curb for the officer, and 4 in the parking lot (2 by the road and two by the parking lot side of the first entry way).
During the winter months, put 'ice-melt' down on sidewalks and ramp if/when needed before and after services.
Take flags outside and place in holders located on the front lawn (weather permitted).
Please DO NOT adjust thermostats in the sanctuary during the winter. They are controlled remotely. Contact Braden Smith if something is needing adjusted.
No kids unattended in kitchen (volunteer kids only) or throughout the church.
Check to ensure the water jug in the foyer (next to coffee shop) is at least half way full. If not, please remove jug, fill it up from the sink in the coffee shop (hose is in the closet) return.
Check balcony to be sure everything is in place, chairs are in line, nothing out of line.
Place a small bottle of water on the pastors podium. Water is stored in coffee shop refrigerator. As doors open for congregation to arrive (30 minutes before each service start)
Make sure all volunteers show up and positions are covered as listed on PCO 30 minutes before each service starts.
Introduce yourself as the Site Coordinator for the day and connect with all department leads - including Community Kids teachers
Perform checks with kids department to ensure they do not need anything (30 minutes before service, 15 minutes, 5 minutes before).
Ensure side and back entry doors are locked 5 minutes before service starts (kitchen and side stairwell).
AS SERVICE STARTS
Make sure door is closed between sanctuary and back hallway as pre-service countdown goes below 2 minutes.
Turn off lights to foyer and Coffee Shop as Worship starts to aid in controlling volume in foyer and boost worship experience. (once worship is over, return lights to dim for bible reading)
DURING SERVICE
Ensure the table and chair is placed on stage during prayer, before message. (Head Usher)
Be aware of people entering/exiting the sanctuary to ensure quiet door opening/closing.
REPEAT FOR EACH SERVICE
Put new bottle of water on the pastors chair between each service, if needed.
Do a final check with Community Kids to ensure they don't need anything. (30 minutes before service, 15 minutes, 5 minutes before service starts)
Check to ensure side and back door are locked during each service and unlocked as soon as service is over. (Safety)
Ensure the table and chair is placed on stage during prayer, before message. (Head Usher)
Turn up the coffee shop lights (the switches in the entryway are marked ) when Pastor Justin begins his message so that people can see their Bibles.
AFTER SERVICE
Stand in Coffee Shop during dismissal. (retrieve pastor Justin's headset after final service)
Ensure each volunteer area has been closed down by its volunteers (Coffee shop, Big Kids, Little Kids, Sound, Breakfast).
Ensure soap dispensers, paper towels, and toilet paper are stocked in each restroom for next week.
Get total attendance count (adults) from Head Usher and break down by services.
Please ensure gray folder is given to the associate pastor, Eli Hughes.
Ensure flags are brought in after service.
Collect the cones from outside and place them under the coffee shop counter.
Please make sure that all trash is picked up in the sanctuary.
Ensure trash is taken out ( Worship/green room, office, Balcony, Coffee shop, kids' rooms, bathrooms, kitchen).
Ensure diaper disposals are emptied in the kids hallway and nursery.
Ensure all lights are turned off. (Sanctuary lights are controlled via black box on inside wall of door from foyer in the sanctuary. Select off button) If issues with this, contact Braden (937)478-2230
When applicable, ensure all air conditioning units are turned off and/or all heating (kids rooms, office, worship room).
During Winter months, leave the coffee shop heat thermostat set to 60 degrees when leaving building.
Ensure all exterior doors are locked. Ask anyone remaining in the church to please exit the stairwell door that self locks, when you are ready to leave.
When returning radio, ensure all radios are plugged in snug and charging. A red light will display if properly charging.
